For years you wanted the phone to ring on its own. You did the door knocking, the postcards, the portal leads you paid too much for. You told yourself that one day sellers would just find you.

Then one day they do. And it turns out that is its own kind of problem.

This post is about the part nobody warns you about: what happens after Google and ChatGPT start sending people your way, and how to make sure none of them go cold.

The call that turned into four deals

Darren is a broker in Edmond, Oklahoma, with close to three decades in the business. On a group call with other BulletProof clients in June, he told this story.

"Last weekend, I literally had a call from somebody that had gone to ChatGPT and had put in keywords, reliable, professional, understands the market, things of this nature, and they called me."

Here is what makes an inbound seller different from every lead you ever bought. She is not comparing you with four other agents from a portal list. She read about you, liked what she read, and picked you. The call is the end of her research, not the start of yours.

That means the first conversation should feel like a confirmation, not a pitch. Answer quickly, remember what she searched for, and show her that the reliable, professional agent she read about is the one on the phone. Most of the selling already happened before she called. Your job is to not undo it.

The good problem

By September, Darren was the most reviewed individual agent in the Edmond and Oklahoma City area. In his words: "I wasn't even on this stuff a year ago, but I'm the most individually reviewed agent in the Edmond Oklahoma City area."

That is when the good problem showed up. He told his VIP manager, "I have been overwhelmed with the amount of leads that I have that I don't get in touch with." So he hired someone whose whole job is to answer and qualify the people who call.

Take a second on that. The same agent who used to go looking for business now needed help keeping up with the business that was looking for him.

Why a slow answer costs more than a bad ad

Think about the last time you called a plumber off a search. You called the first one. No answer. You did not leave a voicemail and wait by the phone. You called the second one, and he got the job.

A seller does exactly the same thing. She found you at nine at night, read your reviews, liked what she saw, and called. If nobody picks up and nobody calls back by morning, she tries the next name the machine gave her. She will not tell you. You will never know she called.

That is what makes it expensive. When a portal lead goes cold you lose a lead you rented. When a seller who found you on her own goes cold, you lose the one lead that cost you nothing and trusted you most.

How to catch every seller who calls

Decide who answers, before the phone rings

Darren's answer was a dedicated person. Yours might be a partner, an assistant, or a call service that forwards live. The point is that somebody owns it. "I'll call them back later" is not a system.

Make every lead show up in one place

Website forms, Google calls, texts and messages should land in one inbox and one phone, not five apps you check when you remember. A lead you cannot see is a lead you cannot answer.

Answer the same day, every time

Speed is part of the reputation the machine already built for you. The seller came in believing you were reliable. The fastest way to prove it is to be the agent who actually calls back.

Ask every happy client for the review

The reviews are what made the machine trust Darren in the first place, and he is still asking. Every closed deal from an inbound lead is the next review that brings the next one.

It is cheaper than what you were doing

Mandy Wilson cancelled a Zillow spend of about $60,000 a year and took seven listings in her first eight months after. The money that used to buy leads can pay for the person who answers them.

Evan Downey is a solo agent with eXp in Dallas, a market with ten to fifteen thousand agents. He was named Best Realtor Dallas in 2025, and roughly $250,000 in commission has come from people who found him through Google, ChatGPT and Grok. Being found is what brings those calls.
